The core functionality of the extranet system is the process of configuring a system and creating a
quote. This process is very complex and can span numerous steps and so the user interface has been
designed to make it as simple and intuitive as possible. The system stores distributor cost, tier1/tier2
pricing and suggested retail price for each product and makes the cost and applicable price (tier 1 OR
tier 2 OR suggested retail) available to distributors for viewing. The system allows distributors to
define end customer pricing based on a markup on their cost and to extend custom discounts to hospitals
during the quote generation process. Distributors are able to view quotes in three levels: 1) Lump Sum
(System Level); 2) Equipment, Installation, Taxes, Labor etc.; and 3) Detailed line item under Equipment,
Labor etc. Once quotes are created they are saved on the system automatically. Distributors are able to
email them to customers, save the quote as a text file on their machines, edit quotes to create revised
quotes and convert quotes into orders. Quote notifications are sent to Westcom via email and Orders are
sent as an ASCII text file that are imported easily into West-Com’s BusinessWorks system.
Each distributor has an account management interface through which they are able to upload terms &
conditions documents to attach with quotes, add/remove sales persons to/from their account, add/edit
customer facilities, define their own systems/part numbers, specify labor rates and view reports
including monthly quotes by system, monthly quotes by sales person, Percent of quotes converted to
orders, totals for each system by time period etc. Through a system administration interface, West-Com
are able to view/edit quotes, change discounts on quotes, convert quotes into orders, create/edit
distributor accounts, Insert/Edit system-wide data (systems, part numbers, pricing, hospital groups,
labor hours etc.). West-Com are also able to view several reports from this interface including monthly
quotes per system, percent of quotes converted to orders, totals/grand totals for all systems by all
distributors etc.
